Data Deletion Instructions

You can ask us to delete everything we hold about you, at any time, free of charge. You do not need an account and you do not need to give a reason.

What this covers

LeedLoop is a messaging tool operated by RootLink Exports (Pty) Ltd, trading as RootLink Software, on behalf of business clients and on its own accounts. If you have messaged one of those businesses on WhatsApp, Facebook Messenger or Instagram, or commented on one of their posts or advertisements, we may hold:

Your WhatsApp phone number, or your Facebook/Instagram-scoped user ID
Your public display name
The content and timestamps of the conversation
The text of any comment you left on the business's post
Which advertisement or post brought you to the conversation
Session metadata — length of the conversation and its outcome

We never hold payment details, identity documents, or your Facebook password.

How to request deletion

Option 1 — Email us (recommended)

Email privacy@rootlinksoftware.com with the subject line "Delete my data".
Tell us how you contacted the business, so we can find your records:
- For WhatsApp — the phone number you messaged from
- For Facebook or Instagram — the name on your profile and the business Page you messaged or commented on
We will confirm receipt and complete the deletion within 30 days, then email you to confirm it is done.

Option 2 — Reply in the chat

Open the WhatsApp or Messenger conversation you had with the business.
Send the message "Delete my data".
The request is passed to a person at RootLink and handled on the same 30-day timeline.

Option 3 — Remove the app's access to your Facebook account

If you want to cut the connection at Facebook's end as well:

Go to Settings & Privacy → Settings → Apps and Websites on Facebook.
Find LeedLoop in the list.
Select Remove, and tick the option to delete posts and activity.

This stops future data sharing. To also erase what we already hold, use Option 1 or 2 above.

What happens when we delete

We permanently remove your conversation records, your contact identifier, your display name, and any comment text we stored. This cannot be undone.

Two things survive deletion, and neither identifies you:

Anonymous aggregate counts — for example "47 leads in July". Your individual record is gone; only the number remains.
Records we are legally required to keep, for as long as the law requires. We will tell you if this applies to your request.

Messages held by Meta inside WhatsApp, Messenger or Instagram itself are outside our control. Delete those in the app, or through Meta's own tools.

Your rights

Under the Protection of Personal Information Act (POPIA), you may also ask us for a copy of the information we hold about you, ask us to correct it, or object to how we use it. Use the same contact details. You may also complain to the Information Regulator of South Africa.
